We value your trust. This policy explains what personal information we collect, why we collect it, and how we look after it.
This policy is for The Flower Loop Limited, NZBN 9429051436742, trading as The Flower Loop.

 

What We Collect

We collect personal information when you:

  • Fill out a form on our website

  • Join our waitlist or mailing list

  • Place an order

  • Email or message us directly

Depending on what you do, this may include:

  • Your name and your business name

  • Email address and phone number

  • Delivery address and shop address

  • Details of your enquiry or message

  • Your order history and the weight of material we collect from your shop

Payment details. When you pay for an order, your card details go directly to our payment provider, Stripe. We never see or store your full card number.

 

Why We Collect It

We use your information to:

  • Process and deliver your order

  • Arrange courier collections from your shop

  • Print your shop's name on your bags so we can identify what comes back

  • Report your shop's own diversion figures to you

  • Respond to your enquiries and keep in touch about your orders

  • Report anonymised, aggregated recycling volumes to our partners and funders

  • Meet our tax and business record-keeping obligations

We only collect what we genuinely need.

Marketing

We only send you marketing emails if you've opted in — by joining our waitlist, ticking a box, or asking us to. Every marketing email says who it's from and has a working unsubscribe link. Unsubscribe any time and we'll stop.
We'll still email you about orders you've placed. That's not marketing, it's us doing our job.

 

 

How We Store It

Your information is stored using trusted digital services for our website, email, payments and business records.
Some of these providers store and process data outside New Zealand. Our website is hosted by Wix, which may store site visitor information in data centres in the United States, Ireland, South Korea, Taiwan and Israel. Our payment provider, Stripe, delivers its service in New Zealand through Stripe New Zealand Limited, but processes payment data through its group companies in the United States and Ireland.
When we disclose your information overseas, we take reasonable steps to make sure it's protected by safeguards comparable to those under the Privacy Act 2020.
We take reasonable steps to protect your information from loss, misuse and unauthorised access. No system is perfect, and we can't guarantee absolute security.

 

How Long We Keep It

We keep order and business records for at least seven years, because our tax obligations require it. We keep enquiry and mailing list information until you ask us to remove it, or until it's no longer useful.

Sharing Your Information

We do not sell or trade your personal information.
We share it only when we need to:

  • With NZ Post and other couriers, to deliver your bags and collect them

  • With Stripe, to process your payment

  • With the providers who run our website, email and business systems

  • With our recycling and manufacturing partners, where we need to identify material — usually just your shop name

  • Where the law requires it

When we report recycling volumes publicly or to funders, we use aggregated figures. We don't name your shop without asking you first.

Cookies and Site Analytics

Our website uses cookies to help it work properly and to help us understand how the site is used. Some of these are set by third parties such as Wix Analytics, Google Analytics and Meta, and may be used to measure our advertising. You can block or delete cookies in your browser settings, though parts of the site may stop working properly.
 

Your Rights

Under the Privacy Act 2020 you can:

  •  Ask what personal information we hold about you

  • Ask us to correct it

  • Ask us to delete it, where we're not required to keep it

Email yasmin@theflowerloop.com and we'll respond within 20 working days.
If you're not happy with how we've handled your information, you can complain to the Office of the Privacy Commissioner at privacy.org.nz.

Changes To This Policy 

We may update this policy. The version on our website is the current one, and the date at the top tells you when it changed.

Using Our Content

All content, images and branding on this site belong to us unless stated otherwise. Please don't reuse them commercially without asking. Florists taking part in The Flower Loop may use our name and logo to say they take part — just get in touch first if you're unsure.
 

Information On This Site

We aim to keep everything accurate and current, but we can't guarantee it's always complete or up to date. Environmental figures we publish are good-faith estimates based on the material we've collected and weighed.
 

External Links

We link to other websites sometimes. We're not responsible for their content or their privacy practices.

To the extent the law allows, we're not liable for any loss arising from your use of this website. Nothing here limits liability we can't lawfully limit, including under the Fair Trading Act 1986.

How To Order

Order online through our shop. Post bags come in packs of 5.

Prices are in New Zealand dollars and exclude GST unless otherwise stated. Payment is by card, processed by Stripe.

You'll get an order confirmation by email. That confirmation is what forms the contract, not the payment itself.

Need something different — a larger order, or an invoice instead of card payment? Email yasmin@theflowerloop.com and we'll sort it out.

 

Delivery

We ship anywhere in New Zealand. Bags usually arrive within a few days, but delivery timeframes are estimates rather than guarantees, and we can't control courier delays.

Your bags are printed with your shop's name, so please double-check your shop name and delivery address before you order.

Check your order when it arrives. If anything is missing or damaged, tell us within 7 days and we'll fix it.

 

The prepaid courier collection

The price includes one prepaid NZ Post collection per bag. Nothing more to pay when you send a bag back.

Scan the QR code on the instruction sheet inside your bags to book it. Each code works once, for one bag.

Prepaid collections are valid for 12 months from the date we ship your order.

There's no deadline for filling a bag. Send it back when it's full.

Returns

Changed your mind? We can refund unused, unopened packs within 14 days of delivery, less shipping / a restocking fee. Email us first so we can arrange it.

We can't refund bags that have been opened or used, because the price includes a prepaid courier collection we can't recover once the pack is in use.

Faulty or incorrect orders

If a bag is faulty, or we've sent you the wrong thing, tell us and we'll replace it or refund it. Just email us with your order number and a photo if that's easier.

Cancelling an order

If you need to cancel, email us as soon as you can. We can usually cancel and refund in full if your bags haven't been printed or shipped yet. Once your shop's name has been printed on them, we can't.

1. Who we are
These terms apply to everything you buy from theflowerloop.com. We are The Flower Loop Limited, NZBN 9429051436742, a business trading in New Zealand ("The Flower Loop", "we", "us").
We sell in trade. Our contact details are yasmin@theflowerloop.com and 0274591135.


2. Who these terms are for
Our post bags are sold to florists, growers and other businesses for use in their business. If you are buying in trade, the Consumer Guarantees Act 1993 does not apply to your purchase, and you agree that it is fair and reasonable for it to be excluded. Nothing in these terms limits your rights under the Fair Trading Act 1986.
If you are not buying in trade, tell us before you order.


3. Placing an order
Prices are shown in New Zealand dollars and exclude GST unless stated otherwise.
Your order is an offer to buy. A contract is formed when we send you an order confirmation, not when you pay.
Payments are processed by Stripe. We never see or store your full card number.
If we have made an obvious pricing or product error, we may cancel your order and refund you in full before we ship.

 

4. Delivery of your bags
We ship anywhere in New Zealand. Delivery timeframes on our website are estimates, not guarantees, and we are not responsible for delays caused by our courier.
Risk in the bags passes to you on delivery to the address you gave us. Please check your order on arrival and tell us within 7 days if anything is missing or damaged.


5. What goes in the bag
Post bags are for clean, dry soft plastics from your shop: clean flower sleeves and traditional bubble wrap only.
Please do not put in: organic waste, floral foam, liquids, wet or contaminated plastic, general rubbish, or anything hazardous.
If a bag arrives with material we cannot process, we may dispose of it and charge you the cost, decline to count it towards your diversion figures or contact you before doing either. If a bag arrives in a condition that is unsafe to handle, we may dispose of the whole bag.

6. The prepaid return courier
The price of your bags includes one prepaid NZ Post courier collection per bag.
The QR code on the instruction sheet books that collection. It can be used once per bag.
Prepaid collections are valid for 12 months from the date we ship your order. After that we may ask you to arrange and pay for the courier yourself, or buy a replacement label.
You are responsible for booking the collection and making sure the bag is sealed, accessible and safe to lift. We are not responsible for bags lost or damaged in transit, or for collections the courier cannot complete.


7. What happens to what you send us
Once we collect a filled bag, the material in it becomes ours. You confirm that it is yours to give and that it is free of anything you should not have put in it.
We recycle it into new sleeves or other products. We may sell those products.
We do not return material, and we cannot retrieve anything sent to us by mistake.


8. Diversion figures and environmental claims
We report the weight of material we receive from your shop and estimate the environmental impact of diverting it.
These figures are good-faith estimates based on weight received and published conversion factors. They are not audited, and they are not a guarantee of any specific environmental outcome.
You may use your own figures in your marketing. Please describe them as estimates from The Flower Loop, and do not change them. If you want to make a specific environmental claim about your business based on our data, check with us first.


9. Your shop's name and logo
We print your shop's name on your bags so we can identify and weigh what comes back.
We may name your business as a participant, and share photos of your bags in use, in our marketing, reporting and funding applications. Tell us at any time if you would rather we did not, and we will stop.
You may use our name and logo to say you take part in The Flower Loop. Please do not use it in a way that suggests we endorse your other products or claims.


10. Returns and refunds
Because the price includes a prepaid courier collection, we can refund unused, unopened packs within 14 days of delivery, less shipping or a restocking fee.
We cannot refund bags that have been used, opened, or printed with your shop's name unless they are faulty.
If a bag is faulty, tell us and we will replace it or refund it.


11. Our liability
We do our best, but things go wrong. To the extent the law allows, our total liability to you for anything connected with your order is limited to the amount you paid for that order.
We are not liable for indirect or consequential loss, including lost profits, lost business, or loss of reputation.
Nothing here limits liability we cannot lawfully limit.


12. Your information
We collect your name, business details, contact details and delivery address so we can process your order, arrange courier collections, and report your diversion figures. We hold it under the Privacy Act 2020 and our Privacy Policy at [LINK].
We only send you marketing if you have opted in, and every message has an unsubscribe link.
We share your details with our courier and with Stripe so they can do their part. We do not sell your data.
You can ask to see or correct what we hold at any time.


13. Things outside our control
We are not responsible for delays or failures caused by events outside our reasonable control, including courier disruption, supply shortages, natural disasters, or changes to recycling infrastructure.


14. Changes
We may update these terms. The version on our website when you place your order is the one that applies to that order.


15. Disputes and law
New Zealand law applies, and the New Zealand courts have jurisdiction.
